How to get invoices paid without chasing your customers

Five polite follow-ups, in your customer's language, that stop the second the money lands. The machine that ends the awkward invoice call, and the break-even math printed right next to it.
There is a call every owner knows and nobody talks about. You did the work in March. It is June now. The invoice was $1,900, and you are sitting in the truck rehearsing how to ask for your own money without sounding desperate, without souring the relationship, without hearing yourself beg. We hear a version of this story every week, almost word for word: I hate it, I feel like a beggar asking for my own money.
The cruel part is that the chase punishes the wrong person. Your customer forgot, or is stalling, or is waiting to see whether you will bother. You are the one who loses the evening drafting a text that sounds friendly but not soft, firm but not rude, the fourth version of a message about money you already earned.
So we built a machine that makes that call almost never happen. It is called Paid Without Chasing, and the whole promise fits in one line: five polite follow-ups, in your customer's language, that stop the second they pay.
One CC, five touches, and a machine that knows when to stop
Here is the wiring. When you send an invoice, you CC one address. That is the entire change to how you work. No new app, no dashboard, no extra steps. The machine sees the invoice the moment your customer does.
Then the sequence runs. A friendly heads-up goes out before the due date. A note lands on the due date itself. After that come the firmer touches: an email, a text message, and a final notice. Every reminder goes out in English or Spanish, matched to the customer rather than guessed. And every one carries an escape hatch: reply PAID and everything stops instantly, because the one unforgivable sin in this trade is harassing somebody who already paid.
The machine never gets tough on its own, either. Before anything firm goes out, you confirm with one tap that the invoice is still unpaid. If you use QuickBooks, an optional connection spots the payment by itself, halts the whole sequence, and sends a bilingual thank-you. Silence never escalates, and payment always wins. It works the ledger at night so you can stop drafting texts in the driveway.
Emails start day one and are live in your first week. Texts join in week three, because the phone companies make every business register before it can send texts, that takes about three weeks, and there is no fast lane for us or for anyone. So the chase gets stronger over time instead of weaker. The stubborn ones, the customers no reminder will move, land on a short Friday call list you can clear in a few minutes. Nine out of ten checks show up before you ever pick up the phone.
The honest math
The price is printed on the page like everything we sell: $997 to set it up and $275 a month. Year one, all in, comes to $4,297.
Now the break-even, not the best case. A $40k-a-month shop sends about 70 invoices, and small-business surveys put bad debt around one invoice in 70. If the chase saves that one $570 invoice a month, that comes to $6,840 a year against the $4,297, for work you already paid to deliver. That is the floor we ask you to check against your own ledger. Faster payment on the other 69 and your evenings back come as a bonus we don't count.
Who this is wrong for
If one polite email already gets you paid, keep your $275. QuickBooks sends exactly that, a single courteous note in English, then gives up. When that lone nudge clears your ledger every month, you do not need us.
If you want a collections agency, this is not one. Nothing firm ever goes out without your one-tap yes, silence never escalates, and the sequence is five touches and a phone list, not a siege. The machine is built to protect the relationship first and the invoice second.
And two honest limits. Texts cannot start before week three, for anyone, because carrier registration has no fast lane. And if you invoice through Jobber, Housecall Pro, or ServiceTitan, those platforms keep payment data gated, so you get the reply-PAID version: reminders run until the money lands or your customer sends that one word.
What happens next
The setup is one call. We wire your dedicated invoice address, your payment link, and QuickBooks if you use it, all on your own logins. You own every account, every login, and every row of data. Emails go out from day one, and texts switch on in week three.
We run every machine we sell on our own businesses first, and this one is no exception. The price is on the page, the math is above it, and the Friday call list is short.
