How to use WhatsApp as your service business front desk

August 30, 2026 · 5 min · Daniel Lewis

Half your customers actually open WhatsApp, and they write at 10 at night. A dedicated business number answers in about 30 seconds, in English or Spanish, and books the job.

We hear a version of this story every week, and it always sounds about the same.

"Nobody around here emails me. My customers WhatsApp me at 10 at night, the quote, the '¿dónde está tu técnico?', the photo of the leak, all on my personal phone. And if I don't answer fast, they WhatsApp the next company on the list."

The owner is on a roof or under a sink with both hands busy. The phone buzzes. The customer is not writing an email, because nobody in that customer's life writes emails. The owner gets to it once both hands are free, opens the thread, and the job is already gone.

That is not a hustle problem. It is a channel problem. The machines are running. The answers are landing somewhere the customer does not look.

What a WhatsApp front desk actually does

The Bilingual WhatsApp Front Desk is a dedicated business number for your shop. Never your personal number. The platform takes a number over permanently, so your personal WhatsApp stays yours and the shop gets its own line.

That number answers. A customer writes in English or Spanish and gets an answer in about 30 seconds, in the language they wrote in, with a link to book. Urgent jobs ping you right away. The rest book themselves while you keep working.

Triage is the part owners underestimate. The water heater at 10 at night is a fire. The 'can you look at my gate sometime' is not. One should reach you in the truck. The other should take a slot on Thursday and leave you alone.

Then we wire the lanes, so the number sits where the customer already is: your website, your missed-call text-back, and your Google listing. Then the paperwork follows. Invoice reminders and your estimate, deposit, and appointment confirmations land on WhatsApp too, the app half your customers actually open. Receipts and reminders, never ads.

None of that runs on our clock alone. At intake we collect your legal name, address, and website and submit your business verification. Your invoice and confirmation templates go in for pre-approval at the same time, because that takes days too. Until both clear, a starter cap of 250 business-initiated conversations a day applies. At your volume you will never see it.

Here is the picture we like. The shop is dark, the trucks are parked, and the number is still awake, answering somebody in her own Spanish and putting her on the schedule for Thursday morning.

The honest math

The price is printed. $1,250 to set it up, $345 a month to run it.

Year one, including the setup fee: $345 times 12 is $4,140, plus $1,250, is $5,390.

Now the other side. One rescued job at $450, once a month, is $5,400 a year. That is the whole break-even. Not a best case, not a projection. That is 12 jobs across 12 months that would otherwise have died in a thread nobody answered in time. The setup fee alone is under 3 of those jobs.

Write those two numbers next to each other on paper. That is the whole pitch.

That math leaves the extras out on purpose. Utility messages run about $0.004 to $0.02 each, cheaper than SMS. Answering in accented Spanish costs nothing extra. We left them out because a break-even should be arithmetic you can check on the back of a work order.

One more honest line. This does not create demand. It makes the money machines you already run land on the app half your customers actually open.

Who should not buy this

Saying no is most of the job here, so here is the list.

If you want marketing blasts, we are the wrong shop. Ad blasts to United States numbers are blocked, and that applies to everybody, including us. That is fine, because we do not sell them, and they never get quoted, sold, or bolted on here. What the platform allows is what a front desk does: answer the people who wrote to you, and send receipts, confirmations, and invoice reminders.

If you want it running on your personal WhatsApp, no. The platform takes a number over permanently. You would be handing over the number your mother texts.

If you are buying this to bring in new customers, no, and we will not pretend otherwise. It rescues the jobs that die today because the answer went to an email nobody reads. That is not demand.

If you are not already running the answer, chase, estimate, and invoice machines with us, this is early. It is a channel upgrade rather than a new engine, and it sells into machines that already exist. A better channel on top of nothing is still nothing.

And if your customers genuinely write you back by email, keep your $345 a month.

The short version

Half your customers are already on WhatsApp. They are already writing at 10 at night. The only question is whether your shop has a number that answers them in their language in about 30 seconds, or a personal phone in a back pocket.

Verification clears in 2 to 5 days on Meta's clock, template approval takes days more, and a starter cap applies until both clear. Then it is live. The price is printed on the page.
